2. Information we may collect

Depending on how you use the future live website, this may include:

• Your name, email address, telephone number, and organisation.
• Booking details and information you choose to share through Calendly or in an enquiry.
• Business correspondence sent to or received from Aida Coaching through email.
• Purchase, invoice, and payment-status information. Full payment credentials are handled by the invoicing and payment providers, not by this website.
• Technical information normally recorded in secure server logs, such as IP address, browser type, requested page, and time of access.
• Your communication preferences, where you actively choose to receive updates.

Please do not send sensitive personal information through a general website enquiry unless it is necessary and you have been asked to do so.

Aida Coaching does not keep separate coaching notes. Information included in booking details, correspondence, contracts, or invoices is handled according to the purposes and retention periods in this notice.

4. Service providers and international transfers

Aida Coaching uses, or plans to use, the following providers for enquiries, booking, and payment services:

• Hetzner hosts the website in its Helsinki, Finland data-centre region. Hetzner may process technical data, including server logs, as needed to operate and secure the website. See the Hetzner Privacy Policy.
• Apple iCloud is used for business email. Apple may process message content, contact details, and technical information needed to deliver and secure email. See the Apple Privacy Policy.
• Calendly is used for appointment booking and workshop registration. When you follow a Calendly booking link, Calendly may process information such as your name, email address, selected time, time zone, answers to booking questions, and technical information needed to provide its service. See the Calendly Privacy Notice.
• Formspree is used to receive website enquiries, requests for event notifications, and statutory withdrawal requests. Depending on the form you use, Formspree may process your name, email address, message, communication preference, purchased service or package, purchase date, an optional payment or booking reference, and technical information needed to deliver and protect the service. • An external invoicing service and its payment partner are used after a coaching option has been agreed. They may process billing, payment, transaction, device, and fraud-prevention information. This website does not receive full payment credentials.

Apple, Calendly, Formspree, and the invoicing or payment providers may process information outside the European Economic Area. Their published privacy information describes the safeguards they use for international transfers, which may include adequacy arrangements and Standard Contractual Clauses. Other hosting, email, and accounting providers will be added to this notice before those services go live.

5. How long information is kept

• Website enquiries and related correspondence are kept for up to 12 months after the last contact.
• Formspree keeps submission history for 30 days under the current plan.
• Calendly booking information is kept for up to 12 months after the appointment.
• Aida Coaching does not keep separate coaching notes.
• Contracts, invoices, and financial records are kept for the period required by Dutch law, generally seven years.
• When you choose to join the mailing list, your details and consent record are kept for up to 12 months unless you renew your consent, or until you unsubscribe, whichever happens first.

Information may be kept longer where this is required by law or needed to establish, exercise, or defend a legal claim.

You can withdraw mailing-list consent at any time by replying to an email or contacting [email protected].

6. Cookies and similar technologies

The current draft website does not use analytics, advertising, or marketing cookies. The draft basket works only in the open page and is not stored after the page is closed.

Calendly is currently opened through an external link rather than embedded in this website. After you follow that link, Calendly may use cookies or similar technologies under its own privacy and cookie information. The invoicing or payment providers may do the same after you follow a secure invoice payment link. If any service is later embedded directly in this website, the cookie information and consent controls will be reviewed before launch.

If optional analytics, embedded media, or other non-essential technologies are introduced, they will remain disabled until the visitor has made a clear choice. This notice and the website’s consent controls will then be updated.

7. Your rights

Subject to the circumstances and applicable law, you may have the right to:

• Be informed about how your information is used.
• Request access to your personal information.
• Ask for inaccurate or incomplete information to be corrected.
• Ask for information to be erased or its use restricted.
• Object to certain processing.
• Receive certain information in a portable format.
• Withdraw consent at any time where consent is the legal basis.
• Lodge a complaint with the relevant data-protection authority.
